Import Companies and Contacts

Click on the Companies/Contacts button to open the Companies/Contacts screen.

Click on the Company List View tab or Contact List View tab.  If you intend to import contacts into one company, ensure that you are in the Company List View tab and you have selected the appropriate company on the selection grid.

Click the Detail Options button to the right of the selection grid and select Import.

The Import Type window opens.

Select a radio button to indicate the type of import you are performing: Companies, Company Contacts to Selected Company or Company Contacts to Multiple Companies.

1.Companies: This option will import a list of companies into your database.
2.Company Contacts to Selected Company: With this option, you will import all of the contacts to the company you have highlighted in the List View tab. Ensure that you have selected the correct company.  The Confirm dialog will ask whether you want to import all contacts to company “Selected Company”.  Click Yes to continue.
3.Company Contacts to Multiple Companies: With this option, the Confirm dialog warns you that the import file must contain a column for company name that exactly matches the company name in your company list. Click Yes to continue.

After you have selected an option, click OK.

The Company Import Wizard or Company Contact Import Wizard will open.

1.Choose the source from which you want to import companies or contacts: CSV (Comma Separated Values) File, Microsoft Excel File (.xls. or .xlsx), or Microsoft Access Database (Use Table Name or SQL Statement).
2.Click the Open icon to the left of the Import File field. In the Select File to Import window, locate the file and click Open.
3.If you are using a Microsoft Access Database, type in a Table Name or SQL Statement.
4.Click Next.

This screen will allow you to review the imported data and associate it with fields in the program.

1.The list of Import Table Fields on the right displays all fields in the program into which you can import data, e.g. FirstName, CompanyName, City, BillAddress, Phone1, etc. The pane on the left represents a table view of the data you are importing.
2.If you have any saved templates, you can select one from the Template drop-down list at the top.
3.To associate the imported data with specific fields in EventPro Planner, select a field from Import Table Fields and drag it onto the corresponding column header under Imported Data. The data from the column will be imported into the field with which it is associated. Ensure that you scroll to the right to view all of the information to import and assign it to the correct fields.
4.Continue dragging and dropping fields onto the table until you have assigned all the data columns you require.
5.If you want to save your newly created template for future use, click Save Template.  In the Save Template dialog, enter a Name for the template and click OK.
6.After you have saved the template, or if you do not want to save a template, click Next.

The Import Wizard will now be populated with companies or contacts from the import file. In this page, you will review your converted data in the fields you selected. Scroll to the right to see all of the information.

1.To filter the list so that you only view certain companies/contacts, click the Set Filter button in the bottom left corner. To review how to set a filter, see Chapter 1: Overview, Common Functions: Filter Information above.  To clear the filter, click the Clear Filter button.
2.From this screen, you can also make data changes that will apply to all companies/contacts in the selection grid or those you select.  To select multiple records, hold down the Ctrl key and click on the desired companies/contacts.  You can also set a filter to view only a certain batch of companies/contacts and consequently apply changes to just that batch of records.
a.Click the Multi-Edit button.
b.The Multi-Edit window will appear.
c.Enter the relevant information into the appropriate fields. However, make sure not to change any distinctive fields, as the new values will overwrite the original values for all selected companies/contacts.
d.Click Save.
e.In the Multi-Edit dialog, choose whether you want to add the new information to Selected Companies/Contacts or All (Filtered) Companies/Contacts.  All (Filtered) means that if you have set a filter so that only thirty of one hundred records are visible, those thirty visible records will constitute “All” for the purpose of the import.  Click OK.
3.If you decide that you do not want to import certain companies/contacts, you can delete those records from the list.
a.Click to highlight the record or hold down the Ctrl key and select multiple records.
b.Click the Multi-Delete button.
c.The Confirm box will ask if you want to delete the selected records.  Click Yes to continue deleting.

When you are satisfied with the records you are about to import, click Finish.  In the Post Data dialog, click Yes to continue the import.

1.The Duplicate Checking dialog will appear. Choose how you want EventPro Planner to deal with duplicate records:
a.Prompt
b.Skip (Do Not Import Possible Duplicates)
c.Ignore (Import All)
d.Mark as “Flagged” (Import All)
2.Click OK.
3.The new contacts or companies will be posted to the Companies/Contacts screen.
