Exhibitor Labels
If you created exhibitor labels (see Chapter 14: Letter and Label Templates, Create Label Templates), you can print out these labels for a single exhibitor or for a batch of exhibitors.
Envelopes can be printed in the same way as labels, if you have created envelope templates. See Chapter 14: Letter and Label Templates, Create Envelope Templates.
1.
First, select the exhibitors for which you want to print labels.
Find the relevant event in the Event Maintenance screen.
2.
Click on the Exhibitors tab and select the View Exhibitors tab.
3.
Click on the Exhibitor List View sub-tab.
a.
Select a single exhibitor to print one label or multi-select several exhibitors for which you want to print labels.
b.
You can also set a filter to limit the number of exhibitors you see in the selection grid (review Chapter 1: Overview, Common Functions: Filter Information).
c.
You will be able to include selected or all (filtered) exhibitors in the printed labels.
4.
Click the Print button to the right of the selection grid containing the list of the Exhibitors.
2.
Select the Labels report in the Run Report window.
Under Label Options, choose the appropriate Label Template from the Label Selection drop-down list. Remember that the template you select must contain Exhibitor merge fields. To learn how these label templates are created, refer to Chapter 14: Letter and Label Templates, Create Label TemplatesandCreate Envelope Templates.
3.
Choose the direction in which you want to print labels: Left to Right, or Top to Bottom.
4.
If some of the labels on the paper have already been used, enter a number in the Skip Labels field to indicate how many labels the printer should skip (on the label paper, start in the top left corner and count in the direction you chose above – Left to Right, or Top to Bottom).
5.
If you are printing multiple labels, choose a Sort Order.
6.
If you want to save a record of printing this label, check the Update Communications checkbox, and select a Method and Reference. You may not find it necessary to store a record of a label printing, particularly if you print many labels and want to preserve hard disk space.
7.
Choose the Report Shading you want to use.
a.
Gray: The default EventPro Planner gray scheme, which is suitable for black and white printing.
b.
Color: The custom color scheme you created earlier in System Settings.
c.
Designed: The color scheme set up in the report layout in the Report Designer. If you choose this option, EventPro Planner will not modify the color scheme as it appears in the report layout.
Select a Destination, which presumably will be your Printer.
3.
Ensure that the Printer settings are correct, including paper size and source. Click the Properties button next to the Printer Name to adjust additional settings.
