Create a Waiting List for Attendees

There are two ways you can handle Waiting Lists for Attendees:
Create an Attendee Status Code for each type of waiting list. For example, if you had three waiting lists - one for hotel rooms, one for a charter flight and one for an activity - you could create status codes such as WAIT-HOTEL, WAIT-FLIGHT, and WAIT-ACTIVITY. See Chapter 1: Setting Up EventPro Planner, Step 2: Status Codes to review how to create status codes. Once you have created the status codes, you can assign the appropriate status to attendees on the waiting list. The Status | Changed column in the View Attendees selection grid will indicate when that person was put on the waiting list.

Create a Communication Reference for each type of waiting list. Using the examples of waiting lists above, you could create communication references called Wait List Hotel, Wait List Flight and Wait List Activity. See Chapter 1: Setting Up EventPro Planner, Step 4: General Lookup Tables, Communication References to review how to create these references. If you want to add an attendee to the waiting list, send him or her a communication, and set the communication reference to the correct waiting list reference. If the waiting list reference could refer to different things, which it may from event to event, you could type an explanation in the Subject line. For example, if you have the communication reference as "Wait List Activity", the subject line could be "Spa" or "Golf Tournament" to indicate the specific activity for which the attendee is on the waiting list.
Now, you are able to filter your attendee list to see who is on the wait list and see who was put on the wait list first, based on the date and time of the communication. If you want to take the attendee off of the waiting list, edit the communication and remove the waiting list reference. |
